Enquiries and contact information
We use the information you send through our enquiry form or by email to answer your request, prepare quotations and handle related business correspondence and orders. The form requires your name, email address and enquiry. Company, phone, material and grade, dimensions, quantity and delivery location are optional. Without the required details, the form cannot submit your request; you can contact us by email or telephone instead. Please include only information needed for your enquiry.
For people contacting us on behalf of a company or other organisation, our legal basis is our legitimate interest in responding to business enquiries and maintaining business relationships, balanced against your privacy rights. Where you are personally a party to a contract, including as a sole trader, we process the information necessary to perform that contract or take the pre-contract steps you request. We also process records where required by applicable legal obligations.
Enquiries are stored in our WordPress form system and sent as email notifications. The contact form is configured not to store the visitor’s IP address, browser name and device name in new entries. This does not remove technical information processed separately by hosting, security, email or optional statistics services, or information stored with earlier entries.
How long we keep information
Our retention policy is to keep enquiry details while the enquiry, quotation or order is active, and longer only where needed for continuing contractual or warranty obligations, statutory records, or establishing, exercising or defending legal claims. When those reasons end, we review and delete or anonymise information that is no longer needed. This applies to relevant form entries, email correspondence and related business records; deleting a form entry alone does not delete an email or backup copy. The contact form does not currently delete entries automatically.
Your cookie choices
You can use the enquiry form without accepting optional statistics or marketing cookies. Use Manage consent to change or withdraw your choice. Withdrawal does not affect processing lawfully carried out before withdrawal. Necessary cookies support website functions and remember your preferences. We rely on our legitimate interests in providing a functioning, secure website for necessary technical processing. Optional statistics and marketing services rely on your consent and are controlled by Complianz.
Optional statistics
If you accept Statistics, Google Analytics and Jetpack Stats (Automattic/WordPress.com) help us understand website visits. Google Analytics also counts successful enquiry-form submissions. It may use cookies including _ga and _ga_05G9FZ7MWG.
Our Google Analytics enquiry event sends a fixed form identifier, not your name, email address or enquiry text. Our custom Analytics code removes query strings and fragments from page addresses and sends only the referring website’s origin. Google signals and advertising personalisation are disabled. Statistics services may also process technical information about your browser, device and connection.
Our Google Analytics settings retain event-level data for two months and user-level data for fourteen months. New activity resets the user-data retention period, so a returning visitor’s user data can remain longer than fourteen months from the first visit. These settings do not limit standard aggregated reports. Jetpack states that identifiable Stats logs are retained for twenty-eight days; aggregated statistics are separate and can remain longer.
Optional marketing and external resources
Google AdSense is blocked unless you accept Marketing. If enabled, Google’s advertising service may use cookies and process information to provide, personalise and measure advertising under its privacy terms. Some website fonts are loaded from Google Fonts to display the page typography; loading these fonts creates a connection to Google independently of optional analytics and can disclose technical connection information, including your IP address.
Links to external websites take you to services governed by their own privacy notices. Our market-reference links do not embed a live market-data feed.
Service providers and international processing
Our website and form run on WordPress with SureForms, hosted by YourHosting. Hosting and email providers process information needed to operate these services. Google and Automattic receive technical visit information when their relevant services load, as described above; our custom Analytics enquiry event does not send the enquiry contents.
Google states that its advertising and analytics services use international infrastructure and that it relies on the EU–US Data Privacy Framework for covered transfers to the United States, with other applicable transfer mechanisms in relevant circumstances. Jetpack states that it processes data worldwide and uses Standard Contractual Clauses where an applicable adequacy arrangement is not available. YourHosting’s published processing agreement permits processing outside the European Economic Area subject to its stated safeguards; it provides country and subprocessor information on request. Your rights and complaints
Depending on the legal basis and circumstances, you can request access to your personal information, correction, erasure, restriction of processing or portability. You can object to processing based on legitimate interests, including for reasons relating to your particular situation. Where processing relies on consent, you can withdraw it at any time. These rights are subject to the conditions and exceptions in data-protection law, including necessary legal record-keeping.
Contact janis.dislers@otk-stainless.com to exercise your rights. We may need proportionate information to verify your identity. We will respond without undue delay and within one month. If a lawful extension is necessary, we will explain the extension and its reasons within that first month. You may complain to the Dutch data-protection authority, the Autoriteit Persoonsgegevens, or another competent supervisory authority.
